Registration plan for Fluidity Forum

fluidity.substack.com

Hello again! We’re finalizing some details with the venue, but as soon as the ink is dry on the contract I’ll tell you all about it. We’ll need the first few registration payments in order to put down the reservation deposit on the venue. On that note, let’s talk about the registration process and rates!

Midjourney’s idea of a symposium on a painted porch around a digital campfire.

Packages

There will be two packages, which I think for now we’ll call “Lodging Included” and “No Lodging”.

Both packages will have:

  • Admission to all sessions (Friday evening, Saturday afternoon and evening, and Sunday morning and afternoon).

  • On-site refreshments throughout the sessions.

  • Catering of about one meal a day; possibly more. We’re negotiating this.

The Lodging Included package will also include:

  • A Friday night and Saturday night in one of the full-home AirBnBs we are reserving within a mile of the venue, each of which comfortably sleeps about ten.

Also, if we get enough attendees, we can rent a shuttle bus to and from the airport, the venue, and the AirBnBs. The venue currently under consideration is a fifteen-minute drive from Metro Detroit Airport.

Application Form

Next week we’ll open up our application form, in which you can describe what you would like to bring to Fluidity Forum. It’s not too early for you to give it some thought now. We ask each attendee to contribute some form of participation. It could be almost any form of creative participation, even if it's surprising or different.

  • Give a presentation

  • Run a workshop

  • Bring your own homemade kombucha

  • Perform music

  • Exhibit an interactive art installation

  • Exhibit a “scent bar”

  • Exhibit and demo an EEG machine

  • etc.

Bonus points if you relate it to our list of topics in some way.

Rates

We’ll put a pause on accepting applications after we have invited the first ten attendees who register and pay: they are the “Supporter” cohort. As part of this cohort, you’ll fill out the application with less time to decide what to present; but you’ll make it possible to put down our most time-sensitive deposits with our vendors. Supporters also get the lowest rate, because the cost to register for both packages will go up throughout the year.

  • “Supporter”, Lodging Included: … $300

  • “Supporter”, No Lodging: ………...… $210

First-come first serve. We’ll invite ten people to the Supporter cohort, and turn off the application form to give everyone else some more time to think about what they want to present. If we get more than ten applications for the Supporter cohort before we turn off the form, we’ll roll over the remaining applicants to be at the front of the queue for the next cohort, the Early Birds. The cost to register will go up. Then we’ll re-open the application form until we fill up the rest of the Early Bird cohort, and let you know in this newsletter. Then we’ll close the form, give people some more time to think about what they want to present, and keep repeating this pattern with cohorts of registrants, until we’re full.

One advantage to the Lodging Included package is that, for comparison, the two nearby hotels are $189-and-up and $150-and-up per night. Also, if you choose the AirBnB Lodging Included package, you get to spend more time with other attendees in the common spaces of your AirBnB.

“I feel like I almost got as much out of the AirBnBs before and after Vibecamp than from Vibecamp itself.” — Eileen Martz, Fluidity Forum registration organizer

There will be a few rate-increase increments between now and then, but the first cohort is getting in at the lowest cost. I expect the rate to eventually climb to $360 for the Last-Minute cohort of registrants. That having been said, if you need time to come up with what you want to present at Fluidity Forum, I encourage you to take time.

We do reserve the right to make changes to the plan described here, as the need arises, but it’s looking pretty good so far. Think about what you’d like to create and bring, and look for the application form in the next newsletter!
